OwnMemory Privacy Policy

OwnMemory is a personal memory app that records and transcribes your meetings, voice notes and written notes, extracts decisions, facts and tasks from them, and answers your questions based only on your own sources. This policy explains what data we collect and why, who we share it with, how long we keep it and how you can delete it.

1. Data we collect

We do not collect advertising identifiers, do not track you across other apps or websites, do not sell your data and do not use it for advertising.

2. How we use data

Only to provide the service: transcribe recordings, extract memories and tasks, search and answer your questions with sources, manage your account and session, and keep the service secure. If we ever want to use your data for another purpose, we will ask for your permission first.

3. Who we share it with

Some of these providers may be located outside your country (for example in the USA).

4. Retention

Data Period
Audio recordings Settings → Audio retention: "Keep" (until you delete it), "30 days", "90 days" or "Delete after transcription". When the period ends the audio file is deleted; the transcript stays.
Transcripts, notes, memory entries, tasks Until you delete the item or your account
Unfinished uploads At most 72 hours
Session keys At most 90 days; invalid at once when you sign out or delete your account
Backups Deleted data is removed from the live system immediately and drops out of backups within 35 days at the latest
Copies at AI providers According to the providers' own terms; OwnMemory cannot delete them

6. Recording other people

Before recording a meeting, it is your responsibility to inform the participants and, where required, obtain their consent. The rules differ between countries.

7. Children

OwnMemory is not designed for children under 13.

8. Security

Connections are encrypted (TLS). The Sign in with Apple refresh token is stored encrypted on the server; only hashes of session keys are kept. Each user's data is isolated in its own workspace in the database with row-level security.

9. Changes

If we change this policy, the version number and date are updated; for significant changes we notify you in the app.


AI processing notice

To turn your recordings and notes into a searchable, source-backed memory, OwnMemory sends some content to third-party AI providers. It does so only after you give permission.

What is sent, and where?

What is sent: the audio file itself, text passages and your question. Your account identifier, name or email address are not added to these requests. Every request to a provider leaves from the OwnMemory server; the app does not talk to the providers directly.

Retention

How long OwnMemory keeps data and how it is deleted is explained in the Privacy Policy (Settings → Privacy Policy). Copies kept by the providers on their side are subject to those providers' terms; OwnMemory has no interface to delete them.
